How to Prepare for a Trade Show as a First-Time Exhibitor
A four-week prep timeline built around the print that has to be on the truck.
First-time exhibitors overspend on the booth and underprepare everything that happens inside it. A show works when your booth is readable from 30 feet, your table looks finished, and you leave with contacts. Here is the prep timeline, built around the Trade Show Event Kit.
Four weeks out: decide what the booth must say
Pick one sentence a passerby should understand without stopping. That sentence goes large on your retractable banner and nowhere else in small type. Confirm your booth size, whether the hall provides a table, and what the venue allows behind and above you.
Three weeks out: order the large-format pieces
Booth graphics have the longest lead time. A retractable banner stand anchors the back wall, a step-and-repeat backdrop gives attendees a reason to photograph your brand, and a fitted table cover is what separates a professional booth from a folding table with a cloth on it.
Two weeks out: solve traffic at the aisle
Attendees walk past hundreds of booths. Feather flags at the corners of your space create the vertical presence that pulls people out of the aisle. Position them where they do not block your neighbor — show organizers care about this.
One week out: print what leaves with people
You need two handouts: a business card for every conversation and a one-page flyer that continues the pitch after the show. Print more cards than you think you need; the last hour of a show is when they run out.
Show day: pack and staff it properly
Bring tape, zip ties, a marker, and a backup stack of cards. Two people minimum so the booth is never empty, both in matching apparel, and a written plan for capturing every lead's contact info before they walk away.
Order the whole booth in one kit
Booth print arriving in three separate shipments the week of a show is a real risk. The Trade Show Event Kit bundles business cards, flyers, feather flags, a retractable banner, a step-and-repeat backdrop, a table cover, and brand design into a single order and one turnaround, so the entire booth ships together. Other event and business bundles are listed under the business kits section.
